Custom CRM development

Custom CRM development shaped to how you sell and deliver

Custom CRM development builds a CRM around your own pipeline, records and handoffs, so your team stops bending its sales process to fit someone else's software. Safock builds them for agencies, service firms and training providers whose deals turn into projects, hours, enrolments and invoices that a standard CRM cannot follow. The CRM covers the full client lifecycle, from lead to deal, delivery, invoice and renewal, connected to the tools you already use and owned outright by you.

/ The problem

What this fixes

  • 01

Paying for features you don't use

Off-the-shelf CRMs charge per seat for hundreds of features, while the fields and steps your business actually needs take workarounds.

  • 02

Sales and delivery in different tools

The deal closes in the CRM, the project runs elsewhere and the invoice in a third tool, so nobody sees the whole client relationship.

  • 03

    Data you can't trust

Duplicate contacts, missing fields and spreadsheets on the side make every pipeline report a negotiation.

/ What we build

Custom CRM development, built for your systems

  • 01

    Pipelines and deal management

Stages, fields and rules that match how you sell, with tasks and reminders that keep deals moving.

  • 02

    Client and contact records

One record per client with contacts, history, documents and activity, deduplicated and searchable.

  • 03

    Quotes, projects and invoicing

Quotes that turn into projects and invoices, so delivery and billing follow the deal without re-entry.

  • 04

    Roles and access rules

Permissions enforced in the database, so each person sees exactly the clients and data they should.

  • 05

    Integrations and reporting

Email, calendar, payments, WhatsApp and accounting connected, plus dashboards built on one source of truth.

/ How it works

The detail behind it

From deal to settlement in one system

For a software development agency, Safock built one internal platform that covers deal, client, project, time, invoice and settlement. It replaced four SaaS subscriptions and a master spreadsheet, and it removed exports and manual reconciliation from billing.

A signed deal creates the client and the project. Developers log hours against the project, budgets, costs and margin update live, and invoices draw on the same records before settling through Stripe. Two roles are enforced with Postgres row-level security: admins manage clients, deals and invoices, and developers see only the projects they are assigned to.

Most custom CRMs end up with this shape: the parts of a CRM you need, joined to the delivery and billing steps that usually live in other tools.

A CRM inside a learning platform

A CRM does not have to track sales deals. The LMS we built for a US auctioneer training school includes a CRM that brings together students, licenses, enrolments, notes and saved filters, so staff support a student from one record.

Its import was built to match the format of the school's existing student records, so the data moved in without being reshaped first. Bulk imports of pre-licensing purchases are matched to student accounts by email, and a buyer no longer waits for a staff member to grant access by hand.

Custom CRM development or an off-the-shelf CRM?

If your process fits a standard CRM well, buy one, and we will help you integrate it. Custom CRM development earns its cost when your process is distinctive, when sales, delivery and billing need to share one record, or when per-seat pricing grows faster than your revenue. We give an honest recommendation during discovery.

  • Your pipeline stages or approval rules need custom code in the CRM anyway
  • Deals turn into projects, hours or enrolments that live in another tool
  • Several teams keep side spreadsheets because the CRM lacks their fields
  • Seat licences cost more each year than the features your team uses

Moving off HubSpot, Salesforce or spreadsheets

Contacts, companies and deals usually export cleanly. Activity history, email threads, custom properties and record owners need more care, and they are what a sales team misses first when they go missing. We map those in discovery, plan the cut-over date around your sales calendar, and connect any tool you keep, such as an email marketing platform, through its API so records stay in sync.

What drives the cost of custom CRM development

Cost follows the number of pipelines and roles, the integrations with email, calendar, payments, WhatsApp and accounting, the volume of history to migrate, and the reports you need. A single pipeline for one sales team is a much smaller build than a CRM that also runs projects and invoicing. A fixed quote with milestones follows discovery, and every launch includes 30 days to 3+ months of support.

/ How we work

From first call to a system your team runs

  1. 01

    Discovery

We start with your workflows, goals, and constraints, so we solve the problem you actually have.

  2. 02

    Proposal & architecture

A clear scope, timeline, milestones, and system design, with honest pricing before any build starts.

  3. 03

    Agile delivery

Short sprints with regular demos, so you see working software early and can steer as it takes shape.

  4. 04

    Launch

Deployment, optimization, and security hardening are included. Nothing ships unless it is safe and secure.

  5. 05

    Support & growth

30 days to 3+ months of support after launch, with long-term maintenance available as you grow.

  6. 06

    Your team, enabled

Documentation and training so your people can operate and extend the system on their own.

/ FAQ

Questions buyers ask us

Can you migrate our data from HubSpot, Salesforce or spreadsheets?

Yes. Migration is part of the project. We export your contacts, companies, deals and activity history, map each field and pipeline stage to the new data model, merge duplicates and keep the record owners. Your team checks a trial import before go-live, and the old CRM stays readable until you are satisfied nothing is missing, so the switch carries little risk.

Do we pay per seat for a custom CRM?

No. You own the source code, the database and the hosting accounts, so adding a salesperson adds no licence fee to Safock. Your running costs are hosting and any paid services the CRM connects to, such as an email or payments provider. After the support period we can maintain the CRM for you, or your own developers can take it over using the documentation we hand over.

Can we add AI features to a custom CRM later?

Yes. Because the CRM keeps your clients, deals and activity in one typed database, AI features can work from clean, connected data. Useful ones include drafting follow-up emails from the deal history, summarising calls and meetings, and flagging deals that have gone quiet. We add them when your data supports them, with a person approving anything that goes out to a client.

How long does custom CRM development take?

It depends on the number of pipelines and roles, the integrations and the history to migrate. We can ship the pipeline and client records first, so the sales team works in the new CRM early, then add quoting, projects and invoicing in later sprints. Every sprint ends in a demo, and the proposal after discovery sets the milestones and a fixed price.
